What we collect, and why

When you fill in an enquiry form, we collect the information you give us: your name, organisation, role, work email and phone number, the sector and site you are asking about, and anything you put in the message. We use this to answer your enquiry. Nothing else.

Lawful basis

We rely on legitimate interests for enquiry handling and analytics: it is in your interest, and ours, that we can reply to you and understand which information on the site is useful. We rely on contract for the data we hold to operate sites under a service agreement. We rely on consent for marketing emails, which you can withdraw at any time. We rely on legal obligation where required by tax, employment or export-control law.

Who we share information with

We do not sell personal information. We do not share enquiries with third parties for marketing.

We share information with our suppliers and contractors only where necessary to deliver the service: cloud hosting providers, the operations centre platform, regional service partners, and our legal and accounting advisers. Each is bound by a written contract requiring the same standard of protection.

Where data is processed outside the UK, we use the standard contractual clauses approved by the UK Information Commissioner.

§ 05

How long we keep it

Enquiry data is held for two years from the last contact, then deleted, unless a contract has been signed.

Contract data is held for the duration of the contract and for six years after, to meet UK statutory retention requirements.

Recruitment data is held for six months after a decision is made, unless you ask us to keep it on file for longer.

Operational telemetry from sites is held for the contract life. It is not linked to named individuals.

§ 06

Your rights

Under UK GDPR you can ask us to: tell you what information we hold about you; correct anything that is wrong; delete information we no longer need; restrict how we use it; receive your data in a portable format; or object to processing based on legitimate interests.
